Job Summary:

The Facility Management Specialist is responsible for overseeing and executing all aspects of facility management, ensuring smooth operations and maintenance of property facilities while enhancing service quality. This role includes coordinating with vendors, managing maintenance schedules, ensuring compliance with safety and regulatory standards, handling the handover and takeover of rental units , and promptly resolving any facility-related issues.

This role requires strong technical, organizational, and problem-solving skills to effectively manage facilities and ensure the highest level of operational efficiency, safety, and tenant satisfaction.


Key Responsibilities:

  • Oversee daily maintenance and operations of property facilities, ensuring they meet company standards for quality and functionality.
  • Supervise maintenance staff and vendors to ensure efficient completion of maintenance tasks, repairs, and routine inspections.
  • Develop and implement preventative maintenance plans to minimize downtime and extend the lifespan of property equipment and facilities.
  • Coordinate with other departments (tenant relations, operations, and customer service) to address facility-related concerns and improve tenant satisfaction.
  • Ensure compliance with safety regulations, local laws, and company policies to maintain a safe environment for tenants and staff.
  • Monitor and manage facility-related budgets, ensuring cost-effective management of resources and expenditures.
  • Conduct regular facility inspections to identify and resolve maintenance issues before they impact tenants or property operations.
  • Coordinate with contractors and service providers to ensure the timely delivery of services and high-quality performance.
  • Prepare and present regular reports on facility management activities, maintenance schedules, budget utilization, and project progress.
  • Respond promptly to emergency facility issues, ensuring swift action to resolve problems with minimal disruption.
  • Ensure proper functioning of building systems such as HVAC, plumbing, electrical, and security, and address any malfunctions promptly.
  • Oversee the handover and takeover of rental units , ensuring that all units are ready for tenants and that any maintenance or operational issues are resolved before tenants move in or out.
  • Maintain accurate records of facility maintenance activities, vendor contracts, and asset management.


Qualifications & Experience:

  • 3 to 5 years of experience in facility management, property management, or related fields.
  • Strong knowledge of property maintenance procedures and building systems (HVAC, electrical, plumbing, etc.).
  • Experience with Property Management Systems (PMS) or facility management software .
  • Ability to effectively manage and organize teams and external contractors to meet performance standards.
  • Excellent communication and interpersonal skills to interact effectively with tenants, vendors, and team members.
  • Strong problem-solving skills and a proactive approach to facility management and tenant satisfaction.
  • Familiarity with safety regulations, building codes, and maintenance standards.
  • Ability to handle emergencies calmly and efficiently, ensuring minimal disruption to tenants.
  • Strong organizational skills, with the ability to manage multiple tasks simultaneously and prioritize effectively.
