Job Purpose
The Facility Coordinator is responsible for managing facility operations, safety compliance, maintenance activities, and fleet coordination to ensure efficient, safe, and cost-effective support to business operations in line with company standards and HSE requirements.
Responsibilities
Facility Operations Management
- Oversee daily operations of offices, workshops, yard, and staff accommodation
- Manage facility layout, space allocation, and parking arrangements
- Ensure proper utilization and upkeep of all facility areas
Health, Safety & Environment (HSE)
- Ensure compliance with company HSE policies and procedures
- Promote a strong safety culture across all facility areas
- Implement and monitor:
- 5S standards with LEAN team.
- Electrical safety & LOTO
- Welding, cutting, and brazing safety
- Hand tools and surface safety
- Coordinate with HSE team for risk assessments and mitigation
Fire Protection & Emergency Preparedness
- Implement fire prevention and protection systems
- Maintain firefighting equipment and fire alarm systems
- Ensure annual certification and compliance with local authorities
- Support emergency drills and response planning
Electrical & Technical Compliance
- Ensure safe operation of electrical systems
- Coordinate:
- Thermography (SMDB)
- Earth testing
- Preventive Maintenance (PPM)
- Ensure adherence to electrical safety standards
Asset & Maintenance Management
- Maintain asset register for all facility equipment
- Develop and implement PPM plans
- Monitor maintenance of:
- EOT & Jib cranes
- Air compressors
- HVAC systems (AC units)
- Pressure washers
- Portable power tools
Inspections & Reporting
- Conduct daily, weekly, and monthly inspections
- Perform drop inspections across all facility areas
- Develop corrective action plans and track closure
- Maintain inspection records for audit
Waste Management
- Manage hazardous and non-hazardous waste
- Ensure proper segregation, storage, and disposal
- Maintain environmental compliance and records
Contractor & Third-Party Management
- Supervise third-party contractors and technicians
- Ensure compliance with HSE documentation:
- Method Statements (MWS)
- Risk Assessments (TRA/JHA)
- Toolbox Talks (TBT)
- Permit to Work (PTW)
- Raise and manage work orders and follow-ups
Documentation & Compliance
- Maintain all facility-related records and documentation
- Ensure audit readiness and document control
- Update monthly facility scorecards (SharePoint or system)
Coordination with Authorities
- Act as focal point for Civil Defense and environmental authorities
- Ensure compliance with local regulations and approvals
Housekeeping & Productivity
- Manage housekeeping activities across facility
- Ensure a clean, organized, and safe work environment
Fleet Coordination & Management
- Manage company vehicles and fleet operations
- Ensure proper vehicle allocation and utilization
- Monitor:
- Vehicle maintenance and servicing schedules
- Fuel consumption and cost control
- Driver performance and compliance
- Implement Journey Management procedures
- Ensure all vehicles comply with:
- Safety standards
- Registration and insurance requirements
- Coordinate vehicle repairs and third-party fleet services
- Maintain fleet records, logs, and reporting
- Support carpooling and transport optimization initiatives
Financial & Administrative Support
- Assist in budget monitoring and cost control
- Prepare monthly area allocation reports for finance
Support sustainability initiatives (waste, energy, water reduction)
Skills
- Strong organizational and time‑management skills with the ability to handle multiple tasks.
- Good communication skills (written and verbal) and the ability to coordinate with internal teams and external partners.
- Proficiency in MS Office (especially Excel) and familiarity with inventory or ERP systems.
- Detail‑oriented with a focus on accuracy and process adherence.
- Ability to work well in a team and independently with minimal supervision.
- Problem‑solving mindset and willingness to support process improvements.
Qualifications
- Diploma or bachelor's degree
- 3-5 years of experience in oil and gas facility.
- Prior exposure to inventory management, vendor coordination, or warehouse functions is an advantage.
- Experience in the oil and gas industry or with supply chain processes is a plus.
- Understanding of workplace safety and compliance standards.
