Position Title: Supervisor Assistant

Reports To: Operations Supervisor & General Manager

Department: Operations / Administration

Location: Rosa Wellness & Spa (Home Service Operations)

Employment Type: Full-Time

Position Summary

The Supervisor Assistant plays a key operational role in supporting the daily functions of Rosa Wellness & Spa. The position ensures smooth coordination of bookings, therapists, resources, and customer handling. This role works closely with the Supervisor to maintain service quality, manage communication, assist with scheduling, and support administrative activities to enhance overall workflow by efficiency and client satisfaction.

Key Responsibilities

1. Operational Support

  • Assist in planning and organizing daily therapist schedules.
  • Communicate appointment details, locations, and client needs clearly to therapists.
  • Monitor therapist performance logs, attendance, and punctuality.
  • Track inventory of massage oils, towels, equipment, and consumables.
  • Assist in procurement requests and follow-up with vendors.

2. Client Coordination

  • Coordinate with clients for booking confirmation, rescheduling, and inquiries.
  • Help address customer concerns promptly and escalate when needed.
  • Gather feedback post-session and enter into the evaluation system.
  • Maintain a polite and professional communication tone at all times.

3. Administrative & Reporting Support

  • Support the Supervisor with data entry and documentation workflows.
  • Assist in preparing commission calculation sheets for therapists.
  • Organize monthly payroll support documents.
  • Handle filing, digital record keeping, and contract documentation.
  • Coordinate service receipts, payment tracking, and SkipCash/MyPOS logs.

4. Quality & Compliance

  • Ensure therapists follow hygiene, uniform, and presentation standards.
  • Assist in monitoring equipment condition and reporting damage or loss.
  • Follow internal policies, privacy standards, and professionalism guidelines.
  • Support onboarding of new therapists and orientation sessions.

Skills & Qualifications

Required

  • Excellent communication in English; Arabic is a plus.
  • Strong organizational and coordination skills.
  • Ability to multitask and work under time-sensitive conditions.
  • Basic proficiency in Microsoft Excel / Google Sheets.
  • Customer service mindset with a calm, solution-oriented approach.

Preferred

  • Experience in admin, call center, spa, hotel, or wellness field.
  • Familiarity with scheduling tools or POS systems.
  • Basic marketing or social media coordination skills.

Working Hours & Conditions

  • Peak time readiness is required during evenings/weekends.
  • Must be available for WhatsApp communication during working hours.
  • Occasional field tasks for material purchase and banking errands.

Based on performance, KPI achievement, and training.

Job Type: Full-time

Pay: QAR2,500.00 - QAR4,000.00 per month
