Field Administrator

Pay:  $20.00 - $24.00 per hour

Position Title: Field Administrator

Industry: Reinforcing Steel (Rebar) Construction


Position Summary

The Field Administration role provides operational and administrative support to superintendents and field leadership within a reinforcing steel (rebar) construction environment. This position ensures accurate dispatch coordination, payroll alignment, production tracking, compliance documentation, and reporting across multiple job sites and regions. The role serves as a central point of coordination between field operations, payroll, safety, shop operations, and subcontractor partners.


Responsibilities

Field Dispatch & Workforce Coordination

  • Compile and maintain the Dispatch Log with oversight of crew cost control and compliance with journeyman-to-apprentice ratios.
  • Coordinate and process union and non-union employee dispatches.
  • Enter dispatch data into Soule accurately and timely.
  • Prepare and submit union sponsorship letters as required.

Payroll & Timekeeping Oversight

  • Review submitted field time and reconcile against dispatch records.
  • Identify and escalate discrepancies to foremen and superintendents.
  • Coordinate corrections for missed time, incorrect pay, zone pay, subsistence pay, above-scale pay, and superintendent time.
  • Partner with payroll to ensure accurate weekly processing and compliance with applicable wage requirements.


Project & Production Tracking

  • Enter new projects into Soule and assign project numbers.
  • Monitor time and tonnage entries; refresh and maintain system access to ensure uninterrupted field reporting.
  • Input Sub-Subcontractor partner hours to track production output.
  • Compile and distribute weekly Progress Reports and operational dashboards to superintendents.


Compliance & Documentation

  • Maintain logs for badged employees, orientations, rigging certifications, forklift certifications, and other required credentials.
  • Coordinate onboarding and new hire paperwork in collaboration with the Safety Department.
  • Ensure documentation supports audit readiness and contractual compliance.


Operational Liaison Support

  • Serve as liaison between field, shop, and payroll departments regarding material releases, shipment status, and labor placement.
  • Request and coordinate purchase orders for field operations (e.g., material vendors and job-related supplies).
  • Process field reimbursements, including parking and authorized out-of-pocket expenses.


Reporting

  • Generate and distribute Soule reports and other operational data as requested by superintendents and management.


Required Experience

  • Minimum 3–5 years of administrative experience in construction, preferably within reinforcing steel, structural steel, or heavy civil environments.
  • Experience working with union labor and understanding of dispatch procedures and apprenticeship ratios.
  • Familiarity with certified payroll, prevailing wage, zone pay, and subsistence requirements.
  • Demonstrated experience coordinating between field operations and payroll in a multi-site environment.
  • Experience tracking production metrics such as labor hours and tonnage in construction systems.


Qualifications

  • Strong understanding of rebar field operations, including crew structure, project flow, and shop-to-field coordination.
  • Proficiency with construction management or timekeeping systems (Soule or similar platforms preferred).
  • Advanced organizational skills with high attention to detail and data accuracy.
  • Ability to manage multiple projects and deadlines in a fast-paced environment.
  • Strong written and verbal communication skills when working with superintendents, foremen, payroll, safety, and subcontractor partners.
  • Proficiency in Microsoft Office (Excel, Outlook, Word) and reporting dashboards.
  • High level of discretion and professionalism when handling payroll and personnel information.
