POSITION SUMMARY:
This position supports the work of the Y, a leading nonprofit committed to strengthening community through youth development, healthy living, and social responsibility. The Finance & Operations Administrator ensures accurate and timely financial processing, maintains compliance with YMCA financial policies, and provides operational support to strengthen overall administrative efficiency. This position plays a key role in maintaining accountability, transparency, and organization across finance and operations functions.
ESSENTIAL FUNCTIONS:
1. Processes weekly deposits and ensures accuracy of cash handling.
2. Bank account reconciliation
3. Prepare monthly journal entries
4. Completes monthly credit card entries and reconciliations.
5. Processes weekly payables in alignment with finance department procedures.
6. Reviews accuracy of invoices, ensures proper coding, and secures leadership approval.
7. Prepare monthly invoices for rental agreements.
8. Maintains and organizes financial files; pulls records for audits and inspections as requested.
9. Assists with annual audit preparation and reporting.
10. Upholds confidentiality and compliance with YMCA financial policies and applicable regulations.
11. Performs other duties as assigned.

QUALIFICATIONS:
1. Associate’s degree in accounting, business administration, or related field preferred; equivalent experience considered.
2. Minimum two years of experience in accounting, finance, or office administration.
3. Strong attention to detail, organizational skills, and ability to meet deadlines.
4. Experience with accounts payable, deposits, and reconciliations required.
5. Strong proficiency in Microsoft Office (Excel, Word, Outlook) and financial software systems.
6. Ability to maintain confidentiality and demonstrate sound judgment.
7. Excellent written and verbal communication skills.
WORK ENVIRONMENT & PHYSICAL DEMANDS:
· The work is primarily performed in an office environment, with the possibility of remote work when available and approved.
· Extended periods of sitting, keyboarding, and reviewing documents are required.
· Must be able to lift and/or move up to 20 pounds as needed.
