We are seeking a detail-oriented Assistant Manager - Accounts Payable to oversee vendor payment accuracy, financial reconciliations, and expense analysis. The role involves managing end-to-end invoice validation, ensuring compliance with contractual terms, and driving process improvements to enhance payment efficiency and cost control. The ideal candidate will collaborate closely with Finance, Operations, and Legal teams to maintain transparency, accuracy, and timeliness in all vendor-related financial activities.
Responsibilities:
- Reconcile vendor invoices and payment activity against usage data, contract pricing, and system reports.
- Validate that billed quantities, licenses, seats, transactions, or volume-based fees match actual utilization and approved rate cards.
- Identify, investigate, and resolve billing discrepancies with vendors and internal business owners.
- Maintain detailed monthly reconciliation files and variance analyses for all high-spend vendors.
- Ensure payments are supported by accurate documentation and approvals before submission to Accounts Payable.
- Develop monthly reporting to summarize vendor spend, usage, and reconciliation status.
- Partner with FP&A to ensure accurate accruals and expense forecasting.
- Support internal and external audit requests related to vendor spending, controls, and documentation.
- Implement process improvements to strengthen payment accuracy, reduce leakage, and shorten reconciliation timelines.
- Collaborate with Operations and Legal to review pricing terms and identify potential cost optimizations.
- Track compliance with contractual minimums, thresholds, or SLAs that impact cost.
- Assist with data-driven vendor business reviews by preparing spend analytics and trend reports.
- Participate in onboarding of new vendors to ensure proper coding, cost center alignment, and reporting setup.
Requirements:
- Bachelor's degree in Finance, Accounting, or a related field.
- 3 to 5 years of demonstrated experience, with a specific focus on financial analysis.
- Proven expertise in account reconciliation, financial forecasting, profitability analysis, and trend analysis.
- High attention to detail and strong analytical thinking
- Clear written and verbal communication with both finance and non-finance stakeholders.
- Proven ability to manage multiple reconciliations under tight deadlines.
- Aware of industry benchmarks and best practices.
