POSITION OVERVIEW:
The Financial Coordinator, under the direction of the Billing Supervisor, will be responsible for conducting patient consultations to review and answer questions regarding financial policies and requirements related to insurance benefits. Perform and obtain required authorizations' and communicate to clinical staff in advance of treatment. This role can be hybrid in the office and remote.
RESPONSIBILITIES:
This position is directly responsible for obtaining required treatment authorizations, determining patient responsibility amounts and obtain payments in advance of the related procedure
WORK HOURS: Full Time, Monday – Friday 8-hour days between the hours of 7:30 am & 5:00 pm
ESSENTIAL RESPONSIBILITIES:
- Responsible for conducting patient consultations to review and answer questions regarding financial policies and requirements related to insurance benefits
- Determining patient responsibility amounts and obtain payments in advance of the related procedure
- Serving as a Patient Advocate for patients when patients have difficulty navigating with their insurance company.
- Review of completed verification forms in the Practice Management (PM) System
- Communicate with Insurance Benefits Specialists
- Review medical records
- Initiate authorizations using online resources, insurance specific forms, and making outgoing calls to insurance companies
- Support and actively participate in initiatives designed to improve individual and organizational performance
- Respond to tasks, telephone calls, e-mails, and messages promptly and professionally
- Take appropriate action to ensure compliance to company’s policies and procedures, standards of conduct, and with state and federal rules, regulations and laws
- Handle multiple tasks in a production driven environment that demands focus.
- Communicate to patients pertaining to required insurance information.

- Follow department procedures to ensure timely completion of benefit investigations
- Communicate with internal patient financial services department, clinical staff and external practice managers when inaccurate demographic information is supplied
- Review and update authorization information in the EMR and PM system
- Coordinate with clinical staff to set up peer to peer meetings for physicians and insurance medical directors
- Taking part in training and other learning opportunities to expand knowledge of company
- Other assigned special projects or assignments and work tasks to assist the Department Lead and Manager/Supervisor in the operations of the department
- Performs other duties/special projects and tasks as assigned
EDUCATION AND/OR EXPERIENCE:
- High School diploma or equivalent required
- 1-3 years’ work experience in a healthcare environment required
KNOWLEDGE AND SKILLS:
- Able to read, interpret, and implement specified records.
- Knowledge of CPT Codes and ICD-9/10 Codes
- Demonstrated knowledge of medical terminology and office procedures.
- Demonstrated knowledge of third-party and insurance company operating procedures, regulations and billing requirements.
- Possess excellent listening and oral communication skills.
- Communicate clearly and concisely, both orally and in writing, including the ability to follow a written script, submit comprehensive summary reports and other written materials.
- Ability to effectively establish and maintain cooperative and effective working relationships
- Effectively prioritize competing responsibilities, with a sensitivity toward matters which are time sensitive
- Exercise a high level of discretion and sensitivity to patient privacy

- Strong technical aptitude to not only operate standard office equipment but also relevant software such as Microsoft Word, Excel, Outlook, EMR & Practice Management Systems and other applications
- Plan, organize, prioritize, and perform duties in accordance with department policy and procedure as assigned with minimal supervision
- Establish and maintain effective working relationships with our patients and all levels of staff
- Must have working knowledge of healthcare regulatory and compliance policy (i.e., HIPAA)
OTHER QUALIFICATIONS: Must be able to handle multiple, simultaneous tasks effectively and efficiently while maintaining a professional, courteous manner. Excellent communication skills, both written and verbal, particularly around complex issues. High integrity, including maintenance of confidential information. Must be able to exercise good judgment and positively influence others, including handling confrontations with poise and efficiency. Advanced computer skills (including, but not limited to spreadsheets, word documents, Internet, and email). Experience with MS Word, Excel and ability to learn new computer programs. Shows initiative and enjoys working as a team in a fast-paced environment with strong attention to details.
