Fit out and Maintenance Manager

Job Summary:

Responsible for planning, executing, and monitoring all facility and branch setup and maintenance projects, ensuring compliance with budgets, quality standards, and operational efficiency through effective management of resources and external contractors.

Duties & Responsibilities:

1. Project Planning

1. Develop a comprehensive analysis and plan for new projects, including a feasibility study covering:

o Estimated expenses based on various proposals.

o Total project cost.

o Future maintenance planning.

o Expected completion time and all required details.

2. Coordinate with relevant departments such as Marketing (designs and signage), Finance (costs and payments), Operations (launch and shelving), HR (licensing), and IT (technical setup).

3. Supervise and coordinate between teams throughout all project stages: Design → Site execution → Supervision → Final handover.

2. Cost Control & Contract Management

4. Monitor expenses and oversee the maintenance budget.

5. Evaluate repair and maintenance cost estimates.

6. Compare at least three vendor offers to ensure the best service at the most reasonable cost.

7. Assess the performance of contracted service providers regularly.

8. Manage and follow up on outsourcing contracts and final approvals.

3. Maintenance Management

9. Develop and implement an effective maintenance strategy to reduce downtime and improve cost efficiency.

10. Plan and supervise all installation and repair work, ensuring quality control standards.

11. Establish and enforce preventive and corrective maintenance procedures.

12. Oversee maintenance operations across all company sites (pharmacies, warehouses, and headquarters), including:

· Carpentry and installations.

· Electrical and air-conditioning maintenance.

· Plumbing, décor, flooring, entrances, insulation, signage, and painting.

· General repairs and daily maintenance.

· Doors, heating, ventilation, and air-conditioning (HVAC).

· 24-hour emergency maintenance response.

13. Conduct periodic inspections to identify and resolve issues promptly.

14. Ensure adherence to safety policies and procedures by all maintenance personnel.

15. Maintain daily activity records and prepare monthly maintenance reports.

16. Regularly update the asset control list (location, cost, installation date, depreciation, maintenance expenses).

17. Supervise equipment inventory and request new supplies when necessary.

18. Assign workloads and supervise maintenance staff.

19. Prepare preventive maintenance plans for seasonal conditions (e.g., rain).

20. Coordinate with the Marketing Department to support event setups.

Qualifications and Experience

Educational Background:

· Bachelor’s degree.

· Additional certifications in Project Management or Maintenance Planning are preferred.

Professional Experience:

· Minimum of 2 years of experience in maintenance or project management.

· Proven experience in vendor management and contract handling.

· Strong knowledge of cost estimation and feasibility studies.

· Excellent leadership skills with the ability to manage on-site teams effectively.

· Proficiency in Microsoft Office (Excel, Word, PowerPoint) and maintenance management systems.

· Strong communication, organizational, and decision-making abilities.

· Proficiency in English is preferred.
