1. Job Purpose
The Fix Fast Coordinator is primarily required to support and coordinate with supervisors, clients, and employees for needed data that is aligned with department objectives. The duties include performing specialized tasks and following staff issues and client complaints. This role involves maintaining employee data such as maintaining daily timesheet, attendance, and leave data, related to the monthly payroll process. This position requires strong organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously.
2. Key Responsibilities
* Assist in planning, executing, and monitoring projects within the FM department to ensure alignment with organizational goals.
* Act as a liaison between departments, facilitating clear communication and collaboration among team members, employees, and clients.
* Maintain accurate records and documentation related to projects and resource allocation.
* Assist in addressing the issues raised by employees related to salary and resolve them.
* Assist in deployment and offboarding employees.
* Track and maintain the live list related to employees daily.
* Oversee the collection, verification, and processing of timesheets to ensure timely and accurate payroll submission.
* Assist in managing billing confirmations and submissions, ensuring the documentation is accurate and submitted on time.
* Maintain and update the records of employee annual leave and emergency leave, ensuring compliance.
* Prepare and process the credit note and memo.
3. Qualifications & Skills
* Experience: Minimum of 3 to 5 years of experience in facilities management or a similar role.
* Work Experience: Experience in an FM organization or service administration company at the same level.
* Skills:
* Employee communication, problem-solving, and adaptability.
* Proficient in MS Word, MS Excel, MS Outlook, Microsoft Dynamics CRM, and have knowledge of the Dynamics AX application.
* Clear, concise communication with team members is essential for collaboration and problem-solving.
* Quick thinking and resourcefulness to address unexpected challenges, such as maintenance issues or scheduling conflicts.
4. Job Complexity/Judgment
* Ability to timely completion of assigned work.
* Ability to assist in carrying out work in accordance with the SLA agreement with clients.
* Following the manpower and raising their billing, payroll process-related documents for the month for all the manpower-related assigned clients.

* Internal: Stakeholders.
* External: Clients.
