Position Overview
At Nevoya, the Fleet Coordinator is a field-based, high-mobility role and a critical face of our company — the person our drivers interact with most directly in the field. This individual is responsible for supporting the day-to-day operational needs of our commercial truck and trailer fleet across the state of Texas. They will travel extensively to company terminals, drop yards, and customer sites to install GPS tracking devices in trailers, distribute key sets to trucks, deliver critical paperwork to drivers, track fleet assets, coordinate preventive maintenance requests, and provide in-person technology and app support to drivers. A valid Commercial Driver’s License (CDL) is required, as the coordinator may need to reposition trucks over short distances as part of their duties.
As the primary in-person point of contact for Nevoya drivers across Texas, this person must bring patience, strong organizational skills, and excellent communication to every interaction. They represent Nevoya’s values and set the tone for the driver experience.
Key Responsibilities
GPS & Telematics Installation
  • Travel throughout Texas to install and configure GPS tracking devices and telematics units in trailers and trucks.
  • Ensure all installed trackers are properly activated, paired to the fleet management system, and reporting accurate location data.
  • Troubleshoot basic connectivity or mounting issues with tracking hardware in the field.
  • Maintain a detailed log of installations, including unit serial numbers, vehicle IDs, and installation dates.

Driver & Documentation Support
  • Coordinate timely delivery of required paperwork to drivers at various locations across Texas, including compliance documents, permits, updated operating authority filings, and insurance certificates.
  • Distribute replacement and additional key sets to assigned trucks and trailers, maintaining accurate records of key assignments.
  • Serve as a field point of contact for drivers needing in-person support related to vehicle access, documentation, or minor equipment issues.
  • Communicate proactively with dispatch, the Fleet Manager, and the compliance team to ensure drivers have what they need to stay operational and in compliance.

Vehicle Operations & Repositioning
  • Reposition trucks over short distances within yards, terminals, and between nearby locations as needed, utilizing a valid CDL.
  • Conduct basic pre-trip and post-trip vehicle walkthroughs and report any observed maintenance issues or safety concerns to the Fleet Manager.
  • Assist with vehicle check-in and check-out procedures during equipment transfers.
  • Should also be comfortable performing road tests for potential new drivers.

Asset Tracking & Preventive Maintenance Coordination
  • Maintain accurate, real-time records of all fleet assets including trucks, trailers, and equipment across Texas locations.
  • Track asset locations, assignments, and utilization using fleet management software and GPS data, flagging discrepancies or unaccounted equipment to the Fleet Manager.
  • Coordinate preventive maintenance (PM) requests by scheduling service appointments, communicating upcoming PM needs to drivers and terminal managers, and following up to ensure completion.
  • Monitor PM due dates and mileage thresholds across the fleet, proactively flagging units approaching service intervals before they fall out of compliance.
  • Liaise with maintenance vendors and internal shop teams to ensure PM work orders are opened, tracked, and closed in a timely manner.
  • Assist the Fleet Manager with vehicle inventory audits, asset reconciliation, and operational reporting as needed.

Driver App Support & Technology Assistance
  • Provide in-person support to drivers experiencing issues with Nevoya’s mobile apps, ELD devices, or other required technology tools.
  • Walk drivers through app setup, login, and core workflows (e.g., load acceptance, HOS logging, document uploads) with patience and clarity.
  • Troubleshoot minor technology issues in the field, including connectivity problems, device configuration, and ELD pairing; escalate complex issues to the appropriate internal team.
  • Help drivers understand and follow updated processes, policies, or system changes, serving as a trusted resource for day-to-day operational questions.
  • Collect and relay driver feedback on technology pain points or process gaps to the Fleet Manager and operations team.

Fleet Administration & Compliance
  • Maintain up-to-date records of tracker installations, key distribution, and documentation deliveries in the fleet management system.
  • Coordinate with vendors, terminal managers, and internal departments to schedule field visits efficiently.
  • Support DOT and regulatory compliance efforts by ensuring vehicles have current registrations, permits, and required stickers/decals.
  • Identify and escalate any vehicle safety or compliance concerns observed in the field.

Qualifications & Requirements
Education & Experience
  • High school diploma or GED required; Associate’s degree or technical training in logistics, transportation, or a related field preferred.
  • 2+ years of experience in fleet coordination, logistics, transportation operations, or a related field.
  • Prior experience with GPS/telematics system installation or configuration is a strong plus.

Licenses & Certifications
  • Valid Commercial Driver’s License (CDL) — required. Class A preferred.
  • Clean driving record with no major violations in the past 3 years.
  • Must be able to pass DOT physical and drug screening.

Skills & Competencies
  • Exceptional patience and interpersonal skills — able to support drivers of varying technical ability with professionalism and empathy, even under pressure.
  • Highly organized with strong attention to detail; able to manage multiple open tasks (asset records, PM schedules, field visits) simultaneously without dropping the ball.
  • Clear, confident communicator — both written and verbal — with the ability to relay information accurately to drivers, vendors, dispatchers, and management.
  • Ability and willingness to travel extensively throughout Texas, with regular overnight stays as required.
  • Self-starter who can plan routes and manage time independently with minimal supervision.
  • Comfortable in a variety of outdoor and yard environments, including climbing on and around trailers in varying weather conditions.
  • Proficiency with fleet management software, GPS/telematics platforms, ELD systems, and Microsoft Office (Excel, Outlook).
  • Tech-savvy enough to assist drivers with mobile app troubleshooting and device setup; a natural problem-solver with technology.
  • Mechanically inclined with an ability to handle basic hardware installation tasks.

Working Conditions
This is an active, field-based position. The Fleet Coordinator will spend the majority of their working time on the road traveling across Texas rather than in an office. The role involves regular physical activity including lifting equipment (up to 50 lbs.), climbing in and around trailers and trucks, and working in outdoor environments. Overnight travel within Texas is expected on a regular basis.

Wage Range: 60000.00 - 70000.00 per year
