The Role at a Glance

This role provides administrative and accounting support for fleet maintenance and Sentry Leasing. Responsibilities include handling vehicle registrations, titles, and permits, coordinating with DMVs, managing compliance tasks, maintaining fleet documentation, and supporting dispatch operations. The position also oversees vehicle check-in/out, fuel usage, inspections, and inventory tracking. Using the EZ Fleet system, it processes tags and permits and supports audits. Additional duties involve assisting leadership with reporting, vendor communication, and citation processing.


How You’ll Contribute
You will provide comprehensive administrative and accounting support for fleet maintenance operations and Sentry Leasing. Key responsibilities include handling vehicle registrations, titles, permits, license plates, and drafting necessary documents such as powers of attorney and lien releases to complete DMV transactions. Regular communication with state DMVs, United Van Lines, vendors, contract drivers, and internal departments is essential.

Additional duties include maintaining vehicle documentation, assisting with lease agreements, and supporting daily dispatch and rollback DMV operations. You will also manage compliance tasks such as submitting driver inspection reports and filing documentation for Federal Highway Use Tax, Unified Carrier Registration, and the International Fuel Tax Agreement.

The role involves maintaining accurate records in the fleet management system, tracking preventive maintenance, fuel usage, and coordinating with location managers to ensure timely vehicle inspections. You will support the Sentry Rental fleet by overseeing check-in/check-out documentation, monitoring fuel, and managing vehicle availability.

Using the EZ Fleet system, you will process vehicle tags, titles, and permits, manage secure user tokens, order decals and plates, and maintain inventory for audits. Finally, you will assist the leadership team with reporting, vendor communications, and vehicle-related citation processing and accounting.


Qualifications and Skills
Education/Work Experience/Certificates
  • High school diploma or equivalent work experience
  • Three plus years’ experience in an office environment. One year of vehicle maintenance/leasing experience.
  • Knowledge of processing vehicle permits licenses and vehicle registrations is strongly preferred.
  • Prior knowledge of DMV (Department Motor Vehicle) & FMCSA (Federal Motor Carrier Safety Administration) policies and procedures is preferred.
  • Ability to obtain a Notary public license.
