The Role

The Administrative Assistant for the Food & Beverage Department is responsible for providing comprehensive administrative support to ensure efficient operations within the luxury hotel’s food and beverage division. This role involves coordinating schedules, managing communications, and assisting with various administrative tasks to enhance overall departmental efficiency.


Main Tasks

  • Administrative Support: Provide general administrative assistance, including managing calendars, scheduling meetings, and organizing travel arrangements for the Food & Beverage management team.
  • Communication Management: Handle incoming communications, including phone calls and emails, ensuring timely responses and appropriate routing of inquiries.
  • Document Preparation: Prepare and maintain various documents, reports, and presentations related to food and beverage operations, ensuring accuracy and adherence to luxury standards.
  • Inventory Tracking: Assist in tracking inventory levels of supplies and equipment, coordinating with team members to ensure adequate stock and timely ordering.
  • Event Coordination: Support the planning and execution of special events, meetings, and training sessions, ensuring all logistical details are managed effectively.
  • Record Keeping: Maintain organized records of food and beverage operations, including employee schedules, invoices, and purchase orders.
  • Collaboration: Work closely with Food & Beverage management and team members to facilitate communication and streamline processes across departments.
  • Guest Service: Provide exceptional service to both internal and external stakeholders, addressing inquiries and assisting with problem resolution as needed.
  • Compliance Support: Assist in ensuring that all administrative processes comply with health and safety regulations, as well as company policies and procedures.


Building Successful Relationships

  • Guests: Support the Food & Beverage team in delivering exceptional guest experiences through effective communication and coordination.
  • Team Members: Foster positive relationships with team members across the Food & Beverage department, promoting collaboration and teamwork.
  • Management: Provide regular updates to management on administrative activities and departmental needs, ensuring alignment with hotel goals.
  • Suppliers: Assist in maintaining relationships with suppliers to ensure timely delivery of products and services.


Skills/Knowledge Required

  • Organizational Skills: Exceptional organizational and multitasking abilities to manage various administrative tasks efficiently.
  • Guest Service: Strong interpersonal skills with a focus on delivering high-quality service in a luxury environment.
  • Communication Skills: Excellent verbal and written communication skills for effective interaction with team members and guests.
  • Attention to Detail: Keen attention to detail in document preparation, record keeping, and compliance with standards.
  • Technical Proficiency: Proficient in Microsoft Office Suite and other relevant software applications; familiarity with hospitality management software is a plus.


Physical Requirements

  • Physical Tasks: Ability to sit for extended periods and perform tasks that require attention to detail.
  • Composure Under Pressure: Maintain professionalism and composure while managing multiple priorities and deadlines.


Qualification Standards

  • Education: High school diploma or equivalent; associate’s or bachelor’s degree in hospitality management, business administration, or a related field is preferred.
  • Experience: Minimum of two years of administrative experience, preferably in a food and beverage or hospitality setting.
  • Grooming: All administrative team members must maintain a professional appearance that aligns with the luxury hotel’s standards.
