Front Desk Administrative Assistant

What You’ll Get To Do:

  • Greets and assists visitors, answers and directs multi-line phone calls, responds to web and email inquiries, maintains visitor logs, and ensures a professional, welcoming, and safe reception area.

  • Provides administrative support to mission leadership, including but not limited to managing calendars, preparing agendas, recording meeting minutes, entering and maintaining data, and reviewing presentation materials.

  • Manages the inventory and ordering of office supplies, marketing materials, miscellaneous items, and Goodwill NCW merchandise for mission leaders and new hires.

  • Maintains organizational directories and standard operating procedures for the front desk to ensure accuracy and consistency in daily operations.

  • Receives, sorts, and distributes incoming mail and packages; prepares outgoing mail as needed.

  • Oversees mailroom and breakroom inventory, ensuring supplies are consistently available and replenished as needed to support staff and daily operations.

  • Assists departments and leadership with special projects, cross functional initiatives, and additional administrative duties as needed to support overall organizational operations.

  • Coordinates various schedules, meetings, conference calls, travel, and special events including but not limited to venue selection, lodging arrangements, and presentation preparation ensuring events and meetings are organized, efficient, and successful.

  • Assists with building security and safety, monitoring the entrance, verifying visitor access, and ensuring a security environment for staff and visitors.

  • Completes filing and archiving tasks as needed, including alphabetizing, collating, organizing, and maintaining records in appropriate locations to support accurate recordkeeping.

  • Other duties as assigned.

What We Need From You:

  • High School diploma or equivalent preferred.

  • Excellent time management and prioritization skills and the ability to work through multiple tasks simultaneously under time constraints.

  • Excellent communication, customer service and attention to detail.

  • Ability to maintain confidentiality.

  • At least a basic level of competency with Word, Excel, PowerPoint, SharePoint and Outlook.

  • Work is performed primarily in a standard office environment with extensive team member contact and frequent interruptions.

  • Primary function requires sufficient physical ability and mobility to work in an office setting; to sit for prolonged periods of time; to occasionally stoop, bend, kneel, crouch, reach, twist, lift, carry, push and/or pull light to moderate amounts of weight.

  • Operate office equipment requiring repetitive hand movement and fine coordination, including use of a computer keyboard, mouse, and scanner.

  • Verbally communicate to exchange information.
