Job Summary:

We are looking for a Receptionist cum Administrative Assistant with at least 2 years of GCC experience to manage front office operations and provide comprehensive administrative, facility, and purchasing support. The ideal candidate should be organized, proactive, and detail-oriented, capable of handling multiple tasks efficiently while maintaining a professional and welcoming office environment.

Key Responsibilities:

  • Greet and assist visitors in a courteous and professional manner.
  • Manage incoming calls, emails, and correspondence promptly and accurately.
  • Maintain a clean, organized, and welcoming reception area.
  • Perform general administrative duties including filing, data entry, and document preparation.
  • Schedule and coordinate meetings, appointments, and conference room bookings.
  • Monitor and maintain office supplies and stationery inventory.
  • Coordinate maintenance and facility-related tasks, liaising with technicians, vendors, and service providers for timely completion.
  • Support the Purchase Department in sourcing and procuring office and maintenance materials.
  • Track and document maintenance and purchase requests, ensuring proper follow-up and reporting.
  • Assist HR and Admin departments with attendance tracking, courier handling, and general logistics.
  • Draft and prepare letters, memos, and reports as required.
  • Help organize internal meetings, training sessions, and company events.

Requirements:

  • Minimum 2 years of GCC experience in a receptionist or administrative role.
  • Excellent communication skills in English (Arabic is an advantage).
  • Proficient in MS Office (Word, Excel, Outlook).
  • Strong organizational, coordination, and multitasking abilities.
  • Ability to collaborate effectively with multiple departments, particularly Maintenance and Purchase.
  • Professional appearance, positive attitude, and customer service orientation.
  • Bachelor’s degree in Business Administration or a related field (preferred).
