Duties
- Greet visitors, clients, and staff with a warm, professional demeanor, ensuring a positive first impression.
- Manage multi-line phone systems efficiently, directing calls accurately and courteously.
- Handle incoming correspondence, including emails and mail, with attention to detail and promptness.
- Maintain organized filing systems, data entry records, and ensure all documents are proofread for accuracy.
- Utilize computer skills across Microsoft Office Suite, Google Workspace, and other office management tools to support administrative tasks.
- Assist with calendar management, appointment scheduling, and coordinating meetings for staff or management.
- Support office operations by managing supplies inventory, performing clerical duties like photocopying and proofreading, and maintaining cleanliness of the reception area.
- Provide customer support by addressing inquiries professionally and offering assistance as needed.
- Support bookkeeping tasks using QuickBooks or similar software to track expenses or invoices when required.
- Demonstrate excellent phone etiquette while managing inquiries from diverse callers in a bilingual environment if applicable.
Qualifications
- Proven experience in office management or administrative roles with strong clerical skills.
- Demonstrated proficiency in computer literacy including Microsoft Office (Word, Excel), Google Workspace (Gmail, Calendar), data entry, and filing systems.
- Experience with multi-line phone systems and excellent phone etiquette.
- Strong organizational skills with the ability to prioritize tasks effectively and manage time efficiently.
- Bilingual abilities are highly desirable to serve diverse client needs better.
- Previous experience as a receptionist in medical or dental settings is a plus but not required; relevant personal assistant experience is also valued.
- Knowledge of bookkeeping software such as QuickBooks is advantageous for supporting financial tasks.
- Excellent proofreading skills combined with attention to detail in all written communication.
