Front Desk Agent

Job Summary
We are seeking a dynamic and friendly Front Desk Agent to serve as the welcoming face of our organization. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors and clients. Duties

  • Greet visitors, clients, and vendors warmly, ensuring they feel welcomed and attended to promptly
  • Manage multi-line phone systems with professionalism, directing calls efficiently and courteously
  • Handle appointment scheduling, calendar management, and coordinate meetings using Microsoft Office and Google Workspace tools
  • Perform data entry, filing, and maintain accurate records to support office operations
  • Assist with clerical tasks such as proofreading documents, managing correspondence, and organizing files
  • Support office management activities including supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software
  • Provide excellent customer service by addressing inquiries via phone or in person with patience and professionalism

Qualifications

  • Proven experience in office management or administrative support roles with strong clerical skills
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry tools
  • Familiarity with multi-line phone systems and phone etiquette standards
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Strong organizational skills with the ability to prioritize tasks efficiently and manage time effectively
  • Previous experience as a receptionist, dental or medical receptionist, or personal assistant is advantageous
  • Knowledge of bookkeeping software such as QuickBooks is a plus
  • Excellent proofreading skills combined with attention to detail in all written communication
