Front Desk Agent

Job Overview

Duties

  • Greet and assist visitors, clients, and team members with professionalism and enthusiasm
  • Manage multi-line phone systems, directing calls efficiently and courteously
  • Handle incoming correspondence, emails, and inquiries using excellent phone etiquette and communication skills
  • Maintain organized filing systems, data entry records, and ensure accurate documentation using Microsoft Office, Google Workspace, and other office tools
  • Support appointment scheduling, calendar management, and coordinate meetings or events as needed
  • Perform clerical tasks such as proofreading documents, managing office supplies, and processing invoices or bookkeeping entries with QuickBooks or similar software
  • Provide customer support by addressing questions promptly and professionally while maintaining a positive attitude

Experience

  • Prior office management or administrative experience in a professional setting is highly preferred
  • Proven ability to operate multi-line phone systems and handle high-volume customer interactions with confidence
  • Bilingual skills are a strong plus to serve diverse client needs effectively
  • Familiarity with computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and data entry tools
  • Experience in medical or dental receptionist roles is advantageous but not required
  • Strong organizational skills with the ability to prioritize tasks efficiently and manage time effectively
  • Previous clerical experience involving filing, proofreading, and administrative support is desirable
