Front Desk Agent

Overview
We are seeking a dynamic and friendly Front Desk Agent to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and ensure smooth administrative workflows. Your energetic approach and organizational skills will help create a positive first impression for visitors, clients, and team members alike. This paid position offers an exciting opportunity to develop your office management expertise while supporting daily business functions in a fast-paced environment. Shift is 2p-10pm Wednesday-Sunday and may vary as needed.

Responsibilities

  • Greet visitors, clients, and vendors with enthusiasm and professionalism, ensuring a warm and welcoming atmosphere
  • Manage multi-line phone systems, directing calls efficiently and courteously using proper phone etiquette
  • Handle front desk duties including scheduling appointments, maintaining calendars, and managing visitor sign-in procedures
  • Perform data entry, filing, and document proofreading to support administrative operations with accuracy and attention to detail
  • Utilize computer skills including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace to prepare reports, correspondence, and presentations
  • Support office management tasks such as supply inventory management, mail distribution, and basic bookkeeping using QuickBooks or similar tools
  • Provide customer support by addressing inquiries promptly and professionally while maintaining organizational efficiency

Qualifications

  • Proven experience in office management or administrative roles with clerical experience preferred
  • Strong computer literacy with proficiency in Microsoft Office, Google Workspace, data entry, and typing skills
  • Excellent organizational skills with the ability to multitask effectively in a busy environment
  • Bilingual abilities are highly desirable to serve diverse client needs
  • Prior experience as a receptionist or in customer service roles such as dental or medical receptionist is advantageous
  • Knowledge of office equipment including multi-line phone systems and filing systems required
  • Demonstrated time management skills with the ability to prioritize tasks efficiently
  • Exceptional phone etiquette and customer support skills essential for creating positive interactions
