Duties

  • Greet visitors, clients, and staff warmly, ensuring a positive first impression at all times
  • Manage multi-line phone systems, directing calls accurately and courteously
  • Handle front desk responsibilities including check-ins, appointment scheduling, and visitor sign-ins
  • Maintain organized filing systems, data entry records, and manage incoming correspondence
  • Utilize computer skills to update databases, prepare documents using Microsoft Office and Google Workspace tools
  • Support office management tasks such as calendar management, proofing documents, and organizing supplies
  • Provide excellent customer support by addressing inquiries promptly and professionally
  • Assist with clerical duties like photocopying, faxing, proofreading materials, and maintaining office cleanliness

Requirements

  • Proven office experience or clerical experience with strong organizational skills
  • Proficiency in computer literacy including Microsoft Office (Word, Excel), Google Workspace, and data entry systems
  • Experience with multi-line phone systems and phone etiquette essential for professional communication
  • Bilingual abilities are highly desirable to serve diverse clientele effectively
  • Strong typing skills with attention to detail for proofreading and document accuracy
  • Ability to manage time efficiently in a fast-paced environment while prioritizing tasks effectively
  • Knowledge of office management practices including filing, calendar management, and office supply organization
  • Previous experience in customer service or support roles such as dental or medical receptionist is a plus
  • Personal assistant or bookkeeping experience can be advantageous for supporting administrative functions
