UBMD Neurology is seeking a Front Desk Coordinator for busy outpatient clinic in downtown Buffalo at the Conventus Medical Office Building. Qualified candidates should have a minimum of one (1) to two (2) years experience in a outpatient clinic setting. Experience with Electronic Medical Records (EMR) experience and phone experience helpful. Candidates should also have excellent communication and multi-tasking skills required. Parking is paid for downtown location. NO NIGHTS AND NO WEEKENDS!

UBMD Neurology provides comprehensive neurological evaluation, diagnosis and management for adults and children with a wide variety of neurologic disorders. With locations in Buffalo and Williamsville, we offer a full range of procedural services including EEG, EMG, adult and child neuropsychologic testing, an infusion clinic for intravenous therapies and neuroimaging interpretation. We are closely allied to two Kaleida Health hospitals, Buffalo General Medical Center and Oishei Children's Hospital.

Job Summary:

The Front Desk Coordinator (FDC) performs administrative duties for the office including, but not limited to, greeting patients, handling heavy call volume, collecting copays as well as assisting vendors and other visitors in the reception area of the clinic.

Essential Functions:

  • Answers telephone calls in a timely manner and manages/directs calls appropriately.
  • Schedules and confirms patient appointments.
  • Problem solves and utilizes resources to obtain patient information when patient is unable to communicate, seeking assistance as needed.
  • Works closely with clinical staff to answer patient questions.
  • Schedules patient appointments, builds charts and gathers required records
  • Checks in/ out patients.
  • Receives changes to payments on patient accounts; compares cash receipts and payments in balancing daily receipts, logging and securing payments according to policy.
  • Captures and verifies patient demographics, current insurance, appropriate forms and signatures to ensure accurate billing and medical record information for the check-in process for all patients.
  • Prepares and mails new patient paperwork.
  • Maintains patient charts for upcoming appointments.
  • Establishes and maintains a professional and polite rapport with all patients and staff.
  • Ability to work 37.5 hours per week on a regular basis, except during times when paid time off is requested and approved.
  • Reviews and addresses daily tasks as assigned.
  • Complies with all OSHA regulations.
  • Adheres to HIPAA and confidentiality policies and procedures

Other Functions:

  • Manages mail, fax machine, scanning bin, and task lists.
  • Obtains authorizations, when needed, for testing.
  • Assists in maintaining cleanliness of the clinic, especially the waiting room areas.
  • Performs special projects assigned by management.
  • Provides cross coverage within department when deemed necessary.
  • Reviews company email on at least a daily basis in order to receive and address notifications and/or other pertinent information in a timely manner.
  • Any other duties as requested or assigned by the Nurse Manager and/or Office Manager and/or other management representative. Duties, responsibilities and activities may change or new ones may be assigned at any time with or without notice.
  • May be required to travel to other UBMD Neurology location(s) dependent on company need.
  • Work hours may fluctuate depending on company/clinic needs.

Working/Environment Conditions:

  • Position is in a well-lit, fast-paced, clean office environment.
  • Office noise level will be mild to moderate most times.
  • Moderate/average indoor temperatures.
  • Environment may have occupational health exposures/hazards.

Equipment:

  • Manual dexterity to operate standard office machines/equipment such as computers, printers, multi-line phone, photocopier, fax system, scanner and/or calculator.

Qualifications:

Education: High School diploma or GED, Associate’s degree preferred.

Experience: One (1) to two (2) years’ experience working in medical reception and/or customer service, preferably in a clinic setting. Experience in electronic medical records strongly preferred.

Knowledge, Skills & Abilities: Medical terminology strongly preferred. Knowledge of various insurances and procedure codes helpful. Excellent communication and multi-tasking skills required. Knowledge of Microsoft Office programs required.
