Front Desk Coordinator

THIS IS AN ONSITE GRAVEYARD POSITION: Sunday - Thursday, 11:00PM - 7:30AM -

We are looking for a Front Desk Coordinator to join our team in Olympia, Washington. In this contract role, you will serve as the first point of contact for residents and visitors, ensuring a welcoming and organized environment. The position involves supporting vulnerable populations, maintaining site operations, and fostering a secure and respectful atmosphere.

Responsibilities:

• Monitor site traffic, log resident and visitor entries and exits, and report any violations or significant occurrences.

• Coordinate transportation needs for residents, manage communication tasks such as delivering messages and packages, and assist with appointment reminders.

• Maintain and oversee daily schedules for onsite programs and external agency visits.

• Direct residents and clients to appropriate staff for assistance, inform maintenance teams of mechanical issues, and keep the front office area organized.

• Ensure a safe and restful environment by providing adequate bedding and basic necessities, monitoring site conditions, and encouraging cleanliness and safety.

• Support residents by offering information about resources and services, following up on scheduled items, and ensuring their needs are met.

• Collaborate with volunteer staff and interns to enhance site operations and resident support.

• Foster a respectful and supportive atmosphere for vulnerable populations, treating all individuals with patience and dignity.

• Experience with receptionist duties, including managing multi-line phone systems and answering inbound calls.
• Strong organizational skills for scheduling appointments and managing calendars.
• Proficiency in Microsoft Office applications.
• Effective communication skills to interact with residents, staff, and visitors.
• Ability to establish boundaries and work respectfully with vulnerable populations.
• Familiarity with concierge services and coordinating transportation needs.
• Capability to maintain a tidy and well-organized front office environment.
• Prior experience supporting volunteers and interns in a detail-oriented setting.
