Front Desk Coordinator (Medical Office)

Overview
Join our growing medical clinic as a Front Desk Coordinator, where your organization and communication skills will play a key role in daily operations. We serve a diverse patient population, including veterans, weight loss patients, and mental health clients (primarily via telehealth). As our clinic continues to expand, including a recent move into a larger space, we are seeking a reliable and experienced team member to help support front desk operations and improve overall workflow. In this role, you will be the first point of contact for patients, helping create a welcoming and efficient environment while managing essential administrative tasks. This position is ideal for someone who is proactive, detail-oriented, and comfortable working in a fast-paced, evolving clinic setting.

Responsibilities

  • Greet patients and visitors warmly, providing excellent customer service and guiding them through check-in and check-out procedures
  • Manage multi-line phone systems with professionalism, answering inquiries, scheduling appointments, and directing calls efficiently
  • Verify insurance coverage, perform insurance eligibility checks, and handle insurance verification processes using systems like Epic, Meditech, Athenahealth, or Dentrix
  • Schedule patient appointments accurately within electronic health record (EHR) systems such as eClinicalWorks or Epic, ensuring optimal clinic flow
  • Maintain accurate medical records by filing documents, updating patient information, and reviewing documentation for completeness and accuracy
  • Assist with medical billing and collection processes, including coding using CPT, ICD-9/10 codes, and ensuring proper documentation review
  • Support clinical staff with administrative tasks such as preparing care plans, managing medical records, and coordinating patient intake procedures

Requirements

  • Previous experience in a medical office or administrative role preferred
  • Strong organizational and multitasking skills
  • Excellent communication and phone etiquette
  • Comfortable using computers, scheduling systems, and basic office software
  • Ability to handle sensitive information with professionalism (HIPAA compliance)
  • Bilingual (English/Spanish) preferred but not required

  • Job Type: Part-time (Wednesday & Friday, 16 hours/week)
  • Pay: $18–$22/hour (based on experience)
  • Benefits: Not offered for this part-time position

This role is best suited for someone who is adaptable and comfortable in a growing clinic environment.

Pay: $16.00 - $22.00 per hour
