Overview
We are seeking a highly organized and professional Front Desk Manager to oversee daily office operations and ensure exceptional customer service. The ideal candidate will possess strong administrative skills, proficiency in office management tools, and the ability to handle multiple responsibilities efficiently. This role is vital in maintaining a welcoming environment and supporting the overall functionality of our office. Experience with QuickBooks, Microsoft Office, Google Workspace, and multi-line phone systems is preferred. Bilingual abilities are a plus. Duties
- Manage front desk operations, including greeting visitors and handling inquiries with professional phone etiquette
- Answer and direct calls using multi-line phone systems, ensuring prompt and courteous customer support
- Maintain accurate data entry, filing systems, and document proofreading to support administrative functions
- Utilize Microsoft Office, Google Workspace, and other computer software for scheduling, correspondence, and record keeping
- Oversee calendar management and appointment scheduling for staff or medical professionals as needed
- Handle billing and bookkeeping tasks using QuickBooks or similar accounting software
- Support office management tasks such as organizing files, managing supplies, and coordinating meetings
- Provide exceptional customer service by addressing client needs promptly and professionally
- Assist with clerical duties including typing, proofreading, and supporting personal assistant functions when required
Experience
- Prior office management or administrative experience preferred, including roles such as dental or medical receptionist or personal assistant
- Demonstrated proficiency with computer literacy tools such as Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Docs, Sheets), and data entry systems
- Experience handling multi-line phone systems and providing excellent customer support in a busy environment
- Bilingual skills are highly desirable to serve diverse client needs effectively
- Strong organizational skills with the ability to manage time efficiently and prioritize tasks effectively
- Familiarity with bookkeeping software like QuickBooks is advantageous
- Excellent phone etiquette, proofreading skills, and attention to detail are essential for success in this role
Pay: $15.00 - $16.00 per hour
