Position Overview
The Front Desk / Concierge Manager is the face and heartbeat of The Renewal Method. This role blends luxury hospitality, client coordination, sales excellence, and operational flow management.
You will greet every client with presence and professionalism, curate their visit, ensure seamless transitions between providers, and guide clients through their aesthetic and functional medicine journeys with clarity and confidence.
This role is ideal for someone who thrives in a high‑touch, elegant wellness environment and loves connecting with people while supporting a transformative client experience.
Key Responsibilities
A. Luxury Client Experience & Concierge Hospitality
- Welcome every client with warmth, professionalism, and luxury‑level attentiveness.
- Maintain a serene, immaculate lobby and front-of-house environment.
- Serve as the primary point of contact for client needs, questions, follow‑up, and ongoing guidance.
- Manage check‑in and check‑out processes with white‑glove precision.
- Anticipate client needs (water, amenities, comfort, emotional reassurance).
- Support clients in understanding treatment plans, programs, and next steps.
B. Scheduling & Client Journey Coordination
- Manage complex scheduling across aesthetics, injectables, functional medicine providers, and treatment rooms.
- Optimize provider schedules to maximize efficiency and client satisfaction.
- Coordinate follow‑ups, lab visits, program check‑ins, and treatment series.
- Ensure continuity of care by tracking client journeys across departments.
C. Sales & Revenue Growth
- Convert inquiries into appointments, packages, and functional medicine programs.
- Upsell add‑ons such as HydraFacial boosters, ZO Skin Health products, microneedling add‑ons, supplement bundles, and treatment plans.
- Support membership and long‑term wellness program enrollment.
- Track sales metrics, conversion rates, and retail performance.
D. Cross‑Department Integration
- Facilitate cross-referrals between aesthetics and functional medicine.
- Understand the full suite of services to make personalized recommendations.
- Collaborate closely with injectors, aestheticians, and functional medicine providers to ensure cohesive client care.
E. Operational Excellence
- Oversee front-desk processes, phone etiquette, and client communication standards.
- Manage incoming calls, emails, portal messages, and new patient inquiries with promptness and polish.
- Maintain inventory of front-office supplies (retail, skincare displays, supplements).
- Ensure compliance with clinic policies, state sanitation standards, and operational protocols.
- Support coordination of special events, promotions, and wellness campaigns.
F. Guest Retention & Client Relationship Management
- Conduct follow-up calls, check-ins, and concierge-level communication.
- Encourage rebooking and continuation of treatment plans.
- Support monthly goals for retention, satisfaction, and referral growth.
Qualifications
Required
Prior experience in a luxury spa, medspa, boutique healthcare, functional medicine, or high-end hospitality environment
- Exceptional communication + customer service skills
- Strong organizational ability and multitasking in a fast-paced setting
- Comfort with sales conversations, upselling, and recommending premium services
- Tech-savvy (EMR systems, scheduling software, CRM tools)
- Preferred
- Background in aesthetics, skincare retail, wellness, or functional medicine
- Familiarity with ZO Skin Health or medical-grade skincare
- Experience in front desk leadership or concierge roles
- Knowledge of supplements, hormone wellness, or holistic healthcare

Compensation & Benefits

Base Pay:
- Depending on experience and performance

Schedule & Work Environment
