We are seeking a dedicated and detail-oriented Front Desk Medical Office professional to serve as the first point of contact for patients and visitors in a busy healthcare environment.
The ideal candidate will possess excellent communication skills, strong organizational abilities, and a comprehensive understanding of medical administrative procedures. This role involves managing patient intake, scheduling appointments, verifying insurance information, and maintaining accurate medical records. The successful applicant will demonstrate proficiency with electronic health record (EHR) systems such as Epic, Meditech, Athenahealth, eClinicalWorks, and Dentrix or Eaglesoft for dental practices. A commitment to patient service excellence and adherence to HIPAA regulations is essential to ensure a smooth and professional front office operation.
Duties
- Greet patients and visitors warmly while providing exceptional customer service in person and over the phone.
- Schedule appointments efficiently using multiple-line phone systems and digital scheduling tools.
- Verify insurance coverage and benefits through insurance providers, including Medicare and other third-party payers.
- Manage medical billing processes, including collection of payments and follow-up on outstanding balances.
- Maintain accurate and up-to-date medical records within various EMR (Electronic Medical Records) systems such as Epic, Meditech, or Athenahealth.
- Review documentation for completeness and accuracy, ensuring compliance with HIPAA regulations and medical coding standards like CPT, ICD-9, ICD-10.
- Assist with insurance verification, pre-authorizations, and processing claims to facilitate smooth billing workflows.
- Handle administrative tasks such as filing, data entry, typing (including 10 key typing), and managing office supplies.
- Support clinic operations by coordinating patient intake procedures and updating care plans as necessary.
- Demonstrate proficiency with dental terminology if applicable, utilizing Dentrix or Eaglesoft for dental office management.
- Maintain professionalism with excellent phone etiquette while managing multi-line phone systems effectively.
Qualifications
- Prior experience working in a medical or dental front office environment is required; clinic experience is highly preferred.
- Strong knowledge of medical terminology, ICD coding (ICD-9/ICD-10), CPT coding, and health information management practices.
- Familiarity with EMR/EHR systems such as Epic, Meditech, Athenahealth, eClinicalWorks, Dentrix, or Eaglesoft is essential.
- Proven ability to perform medical billing and collections accurately while adhering to HIPAA guidelines.
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced setting.
- Exceptional communication skills—both verbal and written—and strong phone etiquette skills.
- Proficiency in Microsoft Office Suite (Word, Excel) along with basic computer skills for data entry and documentation review.
- Bilingual abilities are considered an asset to serve diverse patient populations effectively.
- Experience in insurance verification, appointment scheduling, medical administrative support, and handling sensitive patient information is required.
