Front Desk Roles and Responsibilities in an Immigration Company1. Client Reception and Customer Service

  • Greet clients and visitors warmly and professionally.
  • Handle walk-in inquiries and provide general information about immigration services, visa categories, and company processes.
  • Direct clients to the appropriate consultant or department.
  • Ensure a welcoming and organized reception area.

2. Communication and Coordination

  • Answer incoming calls, emails, and online inquiries; record messages accurately.
  • Respond promptly to client queries or route them to the right personnel.
  • Coordinate appointments and schedule meetings between clients and immigration consultants.
  • Maintain effective communication between clients, consultants, and management.

3. Documentation and Record Management

  • Collect and verify client documents as per the checklist provided by immigration consultants.
  • Maintain proper filing systems for client applications, forms, and other records.
  • Ensure confidentiality and compliance with data protection policies.
  • Update client information in CRM or database systems.

4. Administrative Support

  • Manage daily office operations such as stationery, courier, and visitor logs.
  • Assist consultants with photocopying, scanning, and printing of client documents.
  • Monitor office supplies and coordinate procurement when necessary.
  • Support management with administrative tasks and basic reporting.

5. Appointment and Calendar Management

  • Schedule client consultations and follow up on confirmed or missed appointments.
  • Send reminders or confirmations via phone, email, or WhatsApp.
  • Maintain the appointment calendar to avoid overlaps or missed meetings.

6. Payment and Billing Assistance

  • Support the accounts team by collecting payments and issuing receipts (if authorized).
  • Keep a record of client transactions and forward details to the finance department.
  • Inform clients about payment policies or installment plans when applicable.

7. Customer Relationship Management

  • Follow up with clients for feedback after consultations or visa submissions.
  • Maintain a polite and professional attitude in all interactions.
  • Help build a positive reputation for the company through excellent client service.

8. Compliance and Confidentiality

  • Ensure that all client interactions and records adhere to immigration compliance and privacy standards.
  • Handle sensitive information with discretion and professionalism.

Job Types: Full-time, Permanent

Pay: ₹15,000.00 - ₹20,000.00 per month
