Front Desk Receptionist

Job Summary
We are seeking an energetic and detail-oriented Front Desk Receptionist to be the welcoming face of our organization. Responsibilities

  • Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
  • Manage multi-line phone systems, screen calls, and direct inquiries efficiently using professional phone etiquette
  • Handle appointment scheduling, calendar management, and coordinate meetings using various digital tools such as Google Workspace and Microsoft Office
  • Perform clerical tasks including data entry, filing, proofreading, and maintaining accurate records
  • Support office management activities by organizing supplies, managing incoming and outgoing mail, and overseeing general administrative functions
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software when needed
  • Provide customer support by addressing inquiries accurately and professionally in person or via phone or email

Skills

  • Proven experience in office management or administrative roles with strong clerical skills
  • Excellent computer literacy including proficiency in Microsoft Office suite (Word, Excel, Outlook) and Google Workspace applications
  • Familiarity with multi-line phone systems and phone etiquette standards
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Strong organizational skills with the ability to prioritize tasks efficiently and manage time effectively
  • Experience with data entry, filing systems, proofreading, and document management
  • Knowledge of medical or dental receptionist duties is a plus but not required; experience in personal assistant roles is beneficial
  • Ability to handle customer service interactions with professionalism and patience
  • Basic bookkeeping skills using QuickBooks or similar software are advantageous
