Job Overview

We are seeking a professional and personable Front Desk Receptionist to join our dynamic team. Duties

  • Greet visitors promptly and courteously, maintaining a professional demeanor at all times
  • Operate multi-line phone systems with excellent phone etiquette, directing calls efficiently
  • Manage appointment scheduling and calendar coordination for staff members
  • Handle incoming correspondence, including emails, mail, and deliveries, with accuracy
  • Maintain organized filing systems and perform data entry tasks using Microsoft Office
  • Support office management activities such as ordering supplies, maintaining inventory, and overseeing general cleanliness
  • Assist with clerical duties including proofreading documents, preparing reports, and updating records
  • Provide customer support by addressing inquiries professionally and resolving issues promptly
  • Perform basic bookkeeping tasks utilizing QuickBooks or similar software when necessary
  • Support administrative projects such as proofreading materials, managing calendars, and supporting personal assistant functions

Experience

  • Prior office experience or clerical experience is highly preferred
  • Demonstrated proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
  • Experience working with multi-line phone systems and providing excellent customer service
  • Bilingual abilities are a plus to effectively communicate with diverse clients and visitors
  • Familiarity with office management tasks such as filing, data entry, and calendar management
  • Knowledge of medical or dental receptionist duties is advantageous but not required
  • Strong organizational skills with the ability to prioritize tasks efficiently
  • Excellent typing speed and attention to detail for proofreading and data entry tasks
  • Previous experience supporting administrative functions such as bookkeeping or personal assistance is beneficial
