Duties

  • Greet visitors, clients, and staff with enthusiasm and professionalism, creating a positive first impression.
  • Answer multi-line phone systems promptly and courteously, directing calls efficiently to the appropriate departments or personnel.
  • Manage appointment scheduling and calendar coordination using tools like Google Workspace or Microsoft Office.
  • Handle data entry, filing, and document proofreading to maintain accurate records and support office operations.
  • Perform basic bookkeeping tasks using QuickBooks or similar software to assist with invoicing and expense tracking.
  • Support office management activities such as supply inventory, mail distribution, and maintaining cleanliness of the reception area.
  • Provide customer support by addressing inquiries via phone or email, ensuring excellent customer service at all times.

Requirements

  • Proven experience in office administration, clerical work, or as a receptionist in a professional setting.
  • Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills.
  • Excellent organizational skills with the ability to multitask effectively in a fast-paced environment.
  • Demonstrated phone etiquette and customer service skills to handle diverse interactions confidently.
  • Bilingual abilities are highly preferred to communicate with a broader range of clients and visitors.
  • Experience with multi-line phone systems, calendar management, and office management software is advantageous.
