<Responsibilities>

  • Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly
  • Manage multi-line phone systems, directing calls efficiently and courteously
  • Handle incoming correspondence, emails, and inquiries with clarity and professionalism
  • Maintain organized filing systems, data entry records, and office supplies inventory
  • Support appointment scheduling, calendar management, and basic office management tasks
  • Assist with clerical duties such as proofreading documents, preparing reports, and managing mail distribution
  • Use computer skills to update databases, utilize Microsoft Office Suite, Google Workspace, and other relevant software tools
  • Provide excellent customer support by addressing questions or concerns promptly and courteously
  • Maintain a tidy reception area to uphold a professional office environment

<Experience>

  • Proven experience in office management or administrative support roles with strong clerical skills
  • Prior front desk or receptionist experience preferred, especially within medical or dental practices or similar settings
  • Demonstrated proficiency with multi-line phone systems, Microsoft Office applications, Google Workspace, and data entry tasks
  • Excellent organizational skills with the ability to prioritize tasks efficiently in a busy environment
  • Strong communication skills with proper phone etiquette and customer service orientation
  • Familiarity with bookkeeping or basic financial record-keeping is a plus
  • Experience in handling calendar management, appointment scheduling, and personal assistant duties is advantageous
