Front Desk Receptionist

We are seeking an energetic and professional Front Desk Receptionist to be the welcoming face of our organization. Duties

  • Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
  • Manage multi-line phone systems, directing calls accurately and professionally using proper phone etiquette
  • Handle appointment scheduling, calendar management, and coordinate meetings for staff or professionals such as dental or medical receptionists
  • Maintain organized filing systems, data entry records, and ensure all documents are accurately proofread and stored securely
  • Support office management tasks including bookkeeping with QuickBooks, inventory tracking, and basic clerical duties such as photocopying and scanning
  • Assist with customer support by addressing inquiries via phone or email, providing information about services or appointments
  • Perform general administrative tasks such as typing correspondence, managing office supplies, and ensuring the smooth operation of daily activities

Skills

  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
  • Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
  • Excellent communication skills with a focus on professional phone etiquette and customer service excellence
  • Bilingual abilities are highly valued to serve diverse client needs effectively
  • Experience with office management software such as QuickBooks or similar bookkeeping tools is preferred
  • Previous office experience in clerical or administrative roles is advantageous
  • Ability to perform data entry accurately with high attention to detail and proofreading skills
  • Familiarity with multi-line phone systems and calendar management tools for scheduling appointments or meetings
  • Knowledge of medical or dental receptionist procedures is a plus but not required; relevant personal assistant experience is beneficial
  • Strong time management skills to prioritize tasks efficiently throughout the workday
