Front Desk Receptionist

Responsibilities

  • Greet visitors warmly and direct them appropriately, ensuring a positive first impression
  • Answer multi-line phone systems promptly and courteously, directing calls or taking messages as needed
  • Manage appointment scheduling and calendar coordination using various digital tools
  • Perform data entry tasks with high accuracy, including filing, record keeping, and updating databases
  • Support office management activities such as organizing files, proofreading documents, and maintaining supplies
  • Maintain a tidy reception area that reflects professionalism and welcoming environment
  • Provide customer support by addressing inquiries efficiently and professionally
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software when necessary

Experience

  • Proven office experience or administrative support background in a professional setting
  • Previous reception or front desk role preferred, especially within medical or dental offices
  • Strong computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace tools
  • Excellent phone etiquette skills with experience managing multi-line phone systems
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Demonstrated organizational skills with the ability to multitask efficiently in busy environments
  • Clerical experience including data entry, filing, proofreading, and calendar management
  • Personal assistant or medical receptionist experience is a plus but not required
  • Knowledge of bookkeeping processes using QuickBooks or similar software enhances your candidacy
