Job Summary
We are seeking an energetic and organized Front Desk Receptionist to be the welcoming face of our office. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors and clients. Responsibilities

  • Greet visitors, clients, and vendors warmly and professionally, ensuring they feel valued and comfortable.
  • Manage multi-line phone systems, screen calls, take messages, and direct inquiries appropriately.
  • Handle scheduling tasks such as calendar management and appointment setting using tools like Google Workspace or Microsoft Office.
  • Perform clerical duties including data entry, filing, proofreading documents, and maintaining accurate records.
  • Utilize computer skills to support office management activities such as document creation, email correspondence, and basic bookkeeping with QuickBooks or similar software.
  • Maintain a clean and organized reception area to promote a welcoming environment.
  • Assist with administrative tasks like proofing correspondence, managing office supplies, and supporting team members with personal assistant duties when needed.

Experience

  • Prior office experience or reception experience is highly preferred.
  • Demonstrated proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
  • Strong organizational skills with the ability to prioritize tasks effectively and manage time efficiently.
  • Excellent phone etiquette skills with experience handling multi-line phone systems in a professional setting.
  • Bilingual abilities are a plus to enhance communication with diverse clients and visitors.
  • Experience in customer service or customer support roles that involve direct interaction with clients or patients is advantageous.
