Front Desk Receptionist

Job Summary
We are seeking an energetic and detail-oriented Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors and clients. Your organizational skills and office management expertise will ensure smooth daily operations, creating a positive first impression for everyone who walks through our doors. Responsibilities

  • Greet visitors warmly, ensuring they feel welcomed and attended to promptly
  • Answer and direct all incoming calls using multi-line phone systems with professionalism and courtesy
  • Manage appointment scheduling, calendar management, and coordinate meetings efficiently
  • Perform data entry, filing, and maintain accurate records using Microsoft Office, Google Workspace, and other office software
  • Support office management tasks such as inventory control, supply ordering, and document proofreading
  • Provide customer support by addressing inquiries, providing information, and resolving issues promptly
  • Maintain a tidy and organized reception area to promote a professional environment
  • Handle clerical tasks including typing correspondence, proofreading documents, and managing office communications

Experience

  • Previous office experience or administrative support roles preferred
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
  • Experience with multi-line phone systems and phone etiquette essential
  • Bilingual abilities are a plus for effective communication with diverse clients and visitors
  • Knowledge of office management procedures including filing, data entry, calendar management, and record keeping
  • Prior experience as a receptionist in medical or dental settings is advantageous but not required
  • Demonstrated organizational skills with the ability to prioritize tasks effectively
  • Clerical experience involving proofreading, data entry, and customer service preferred
