Front Desk Receptionist

We are seeking an energetic and highly organized Front Desk Receptionist to be the welcoming face of our office. In this vital role, you will serve as the first point of contact for visitors, clients, and team members, ensuring a positive and professional experience. Your proactive approach and excellent communication skills will help maintain smooth office operations, manage multi-line phone systems, and support administrative functions with efficiency and enthusiasm. Duties

  • Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly
  • Manage multi-line phone systems, directing calls accurately and courteously using proper phone etiquette
  • Handle incoming correspondence, emails, and inquiries with clarity and promptness
  • Maintain organized filing systems, data entry records, and ensure accurate document proofreading
  • Support office management tasks such as calendar management, appointment scheduling, and basic bookkeeping using QuickBooks or similar software
  • Assist with clerical duties including copying, scanning, faxing, and maintaining office supplies
  • Provide exceptional customer service support to clients and visitors while maintaining a friendly demeanor at all times

Experience

  • Previous office experience or administrative background is preferred, especially in roles such as dental or medical receptionist or personal assistant roles
  • Demonstrated proficiency with computer skills including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and general computer literacy
  • Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
  • Bilingual abilities are a plus to serve diverse client needs effectively
  • Experience with data entry, filing systems, proofing documents, and managing calendars enhances your fit for this role
  • Excellent phone etiquette combined with customer support experience ensures positive interactions with all stakeholders
  • Knowledge of office management tools such as time management software or bookkeeping applications like QuickBooks is advantageous
