Front Desk Receptionist

Job Overview
We are seeking an energetic and detail-oriented Front Desk Receptionist to be the welcoming face of our organization. Responsibilities

  • Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly.
  • Manage multi-line phone systems with courteous phone etiquette, directing calls efficiently to appropriate staff members.
  • Handle incoming correspondence, emails, and inquiries with clarity and professionalism.
  • Maintain organized filing systems, data entry records, and manage document proofreading to ensure accuracy.
  • Support office management tasks such as calendar management, scheduling appointments, and coordinating meetings.
  • Utilize computer skills across Microsoft Office Suite, Google Workspace, and other relevant software for administrative tasks.
  • Perform clerical duties including photocopying, scanning, filing, and updating records with attention to detail.
  • Assist with bookkeeping activities using QuickBooks or similar accounting tools when necessary.
  • Provide customer support by addressing inquiries promptly and professionally in person or via phone or email.
  • Support additional administrative functions such as proofing documents, managing office supplies inventory, and supporting personal assistant tasks as needed.

Experience

  • Previous office experience or administrative support roles demonstrating strong organizational skills.
  • Proven customer service experience with excellent communication skills and phone etiquette.
  • Familiarity with multi-line phone systems, data entry, filing procedures, and general clerical tasks.
  • Experience using Microsoft Office (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and basic computer literacy skills.
  • Bilingual abilities are a plus to effectively communicate with diverse clients and team members.
  • Knowledge of office management practices including calendar management and time management techniques.
  • Prior experience in specialized settings such as medical or dental reception is advantageous but not required.
  • Demonstrated ability to handle confidential information discreetly with high accuracy in proofreading and data entry tasks.
