Front Desk Receptionist

We are seeking a professional and compassionate Front Desk Receptionist to join our team and serve as the first point of contact for our clients.

Position Summary

The Front Desk Receptionist will be responsible for welcoming clients, managing front desk operations, scheduling appointments, insurance verifications, handling referrals and administrative tasks, collecting co pays and ensuring a positive experience for everyone entering our facility. This role requires excellent communication, attention to details professionalism, and the ability to maintain confidentiality in compliance with HIPAA standards.

Key Responsibilities

  • Verify patient insurances, copay and deductibles status
  • Greet clients, visitors, and vendors in a professional and friendly manner
  • Answer and direct phone calls and emails
  • Schedule and confirm client appointments using WebPT
  • Assist with client intake thru referrals and documentation process
  • Maintain and organize front office area
  • Handle incoming/outgoing mail and correspondence
  • Assist staff with administrative support tasks
  • Ensure confidentiality and compliance with HIPAA and agency policies
  • Manage office supplies and coordinate service requests as needed

Qualifications Required:

  • High school diploma or equivalent
  • Minimum [2 years] of experience in reception, administrative support, or customer service
  • Proficiency in Microsoft Office and [any required software/systems]
  • Strong communication and organizational skills
  • Ability to multitask in a fast-paced environment
  • Professional appearance and demeanor
  • Ability to maintain confidentiality and demonstrate discretion

Preferred:

  • Proven experience in a healthcare, rehabilitation, or behavioral health setting
  • Knowledge of medical terminology and insurance language
  • Bilingual (if applicable)
  • Familiarity with [EHR/EMR systems or scheduling software]
