Front Desk Receptionist

Job Summary
We are seeking an energetic and organized Front Desk Receptionist to be the welcoming face of our office. In this vital role, you will serve as the first point of contact for visitors, clients, and team members, ensuring a positive and professional experience. Your multitasking skills and attention to detail will help maintain smooth office operations, manage communications, and support administrative functions. Responsibilities

  • Greet visitors warmly and professionally, directing them appropriately
  • Manage multi-line phone systems, answer inquiries, and route calls efficiently
  • Handle incoming and outgoing correspondence via email and mail
  • Maintain appointment calendars, schedule meetings, and hearings
  • Perform data entry and ensure completion of intake forms
  • Support office management tasks such as supply inventory and record keeping
  • Assist with clerical duties including typing reports, managing Google Workspace documents, and maintaining office files
  • Assist attorneys and paralegals with scheduling, mailing, and other tasks
  • Maintain safe and clean reception area, conference room and kitchen to further support client services

  • Excellent Customer Service, Confidentiality and Discretion, Professionalism, Organization.
  • Multitasking in a fast-paced environment. Microsoft Office, Word, Outlook and case management Software.
  • Highly professional verbal skills in both English and Spanish.
  • Able to contribute positively as part of a team, helping out with various tasks on behalf of clients.
  • Must be organized, detail-oriented, self-motivated and able to work independently.
  • Able to perform clerical tasks such as faxing, copying, scanning, prepping mail, preparing folders and taking payments on behalf of clients.
  • Distribute client mail and scan to respective departments.
  • Proven experience in office management, administrative support, or as a receptionist with strong clerical skills
  • Excellent computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and Microsoft Teams
  • Strong organizational skills with the ability to prioritize tasks effectively
  • Experience with multi-line phone systems and data entry
  • Ability to handle confidential information discreetly and professionally.
  • Must be able to lift at least 10-15lbs.

Hours 8:30 am to 5:00 pm

Pay: $20.00 - $23.00 per hour
