Receptionist

We are looking to hire a Receptionist (Russian Speaker) who will be responsible for managing front office operations, greeting visitors, handling calls and correspondence, and ensuring smooth day-to-day reception activities for our client based in Dubai – which is one of the largest companies in the region.


This position is a contract role with an initial duration of 12 months and is renewable .


The role sits within the Admin & Reception Function and reports directly to the Office Manager .


Key responsibilities:

  • Act as the main point of contact for guests/visitors, ensuring they are greeted warmly, provided with accurate information, and directed appropriately.
  • Coordinate with hosts to arrange beverages and hospitality services for visitors and meeting rooms.
  • Assist visitors with requests such as transportation arrangements and general inquiries to ensure a positive experience.
  • Maintain accurate visitor logs and issue/collect visitor passes.
  • Inform the Sales team about walk-in leads or potential prospects.
  • Handle all incoming and outgoing telephone calls professionally and direct them to the relevant personnel.
  • Manage incoming and outgoing mail and courier services, ensuring proper distribution and record keeping.
  • Maintain courier and mail logs for tracking and invoicing purposes.
  • Coordinate with drivers/messengers for document collection and delivery.
  • Support meeting room bookings and coordinate requirements with internal teams.
  • Liaise with IT support for meeting room equipment setup and troubleshooting.
  • Maintain and update staff contact lists.
  • Ensure the reception desk is always operational, organized, and well-stocked.
  • Keep the reception and front office area clean and presentable at all times.
  • Provide support for VIP visits in line with company protocols.
  • Ensure compliance with company policies and procedures.
  • Assist with ad hoc administrative tasks as required.


Knowledge, skills & experience:

  • High School diploma or 1–2 years diploma or equivalent qualification.
  • 1–2 years of experience in customer service, reception, or a related field.
  • Strong customer service and interpersonal skills.
  • Excellent communication skills in English and Russian (mandatory) ; Arabic is an advantage.
  • Ability to handle calls, visitors, and administrative tasks efficiently.
  • Strong organizational and multitasking abilities.
  • Professional appearance and positive attitude.
  • Ability to work under pressure and manage multiple priorities.
  • Proficiency in basic office tools and systems.


Availability:

Preference will be given to candidates available immediately after accepting the offer.
