Responsibilities

  • Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly
  • Manage multi-line phone systems, directing calls efficiently and courteously using proper phone etiquette
  • Handle incoming correspondence, emails, and inquiries with clarity and professionalism
  • Maintain organized filing systems, including digital files using Google Workspace and Microsoft Office tools
  • Support office management tasks such as data entry, proofreading documents, and scheduling appointments
  • Assist with calendar management and coordinate meetings or appointments for staff or executives
  • Perform clerical duties including filing, photocopying, and preparing documents for distribution or review
  • Provide excellent customer support by addressing inquiries accurately and courteously in person or over the phone
  • Support bookkeeping activities using QuickBooks or similar accounting software when needed
  • Ensure the reception area remains tidy, organized, and welcoming at all times

Requirements

  • Proven office experience with strong clerical skills and familiarity with office management procedures
  • Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
  • Strong organizational skills with the ability to prioritize tasks effectively and manage time efficiently
  • Exceptional customer service skills with a friendly demeanor and professional phone etiquette
  • Bilingual abilities are highly desirable to assist diverse client needs
  • Experience working with multi-line phone systems and handling high-volume calls confidently
  • Attention to detail in proofreading, data entry, and filing processes
  • Personal assistant or medical/dental receptionist experience is a plus but not required
  • Ability to handle confidential information discreetly while maintaining a positive attitude
