Front Desk Receptionist

Job Summary
We are seeking an energetic and organized Front Desk Receptionist to be the welcoming face of our office. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors, clients, and team members. Your positive attitude and strong organizational skills will ensure smooth daily operations, creating a professional and friendly environment. Duties

  • Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
  • Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette
  • Handle appointment scheduling, calendar management, and coordinate meetings for staff and executives
  • Perform data entry, filing, and maintain accurate records using Microsoft Office, Google Workspace, and other office software
  • Assist with clerical tasks such as proofreading documents, managing correspondence, and organizing office supplies
  • Support office management activities including bookkeeping with QuickBooks or similar software
  • Provide customer support by addressing inquiries via phone or email, ensuring a positive experience for all contacts

Experience

  • Previous office experience or clerical experience in a professional setting is preferred
  • Strong computer skills with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry tools
  • Experience with multi-line phone systems and excellent phone etiquette skills
  • Bilingual abilities are a plus to effectively communicate with diverse clients and team members
  • Knowledge of office management practices including calendar management, filing systems, and organizational skills
  • Familiarity with medical or dental receptionist duties is advantageous but not required
  • Personal assistant or administrative support experience will be considered a strong asset
