Front Desk Receptionist

Overview
We are seeking a professional and organized Front Desk Receptionist to join our office team. The ideal candidate will serve as the first point of contact for visitors and callers, ensuring a welcoming environment while efficiently managing administrative tasks. This role requires excellent communication skills, strong organizational abilities, and proficiency with office management tools. Bilingual skills and experience in medical reception are a plus. The position offers an opportunity to develop a broad skill set in office administration and customer service within a fast-paced environment.

Duties

  • Greet visitors and clients warmly, providing exceptional customer service
  • Manage multi-line phone systems, screen calls, and direct inquiries appropriately
  • Schedule appointments and manage calendar bookings using Google Workspace or Microsoft Office tools
  • Perform data entry, filing, and maintain accurate records using QuickBooks or other office software
  • Handle correspondence, including proofreading and editing documents for clarity and accuracy
  • Support office management tasks such as organizing files, processing paperwork, and maintaining supplies
  • Assist with bookkeeping tasks and basic bookkeeping functions as needed
  • Provide administrative support to staff, including personal assistant duties if required
  • Maintain professionalism with phone etiquette and customer support interactions

Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Experience with QuickBooks or similar accounting software is preferred
  • Strong organizational skills with the ability to multitask efficiently
  • Excellent communication skills, both verbal and written; bilingual abilities are advantageous
  • Office management experience or clerical background highly desirable
  • Knowledge of multi-line phone systems and proper phone etiquette
  • Capable of handling data entry accurately with good typing speed and attention to detail
  • Familiarity with medical or dental receptionist duties is a plus
  • Ability to manage calendar scheduling effectively and handle administrative tasks with professionalism
  • Strong computer literacy, including familiarity with office equipment and software tools
  • Excellent time management skills to prioritize tasks effectively
