Front Desk Receptionist

We are seeking an energetic and detail-oriented Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors, clients, and team members. Your organizational skills and office management expertise will ensure smooth daily operations, creating a positive first impression and supporting efficient office functions. Responsibilities

  • Greet visitors and clients warmly, ensuring a professional and friendly atmosphere at all times
  • Answer, screen, and direct incoming calls using multi-line phone systems with excellent phone etiquette
  • Manage appointment scheduling and calendar coordination for staff and executives
  • Handle data entry, filing, and document proofreading to maintain accurate records
  • Support office management tasks such as supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software
  • Assist with clerical duties including typing correspondence, managing emails via Google Workspace or Microsoft Office, and supporting customer service inquiries
  • Maintain a clean and organized reception area while ensuring all office procedures are followed efficiently

Requirements

  • Proven experience in office management or administrative roles with strong clerical skills
  • Excellent computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry tools
  • Prior experience working as a dental or medical receptionist is a plus; familiarity with healthcare or dental office procedures is advantageous
  • Strong organizational skills with the ability to multitask effectively in a fast-paced environment
  • Bilingual abilities are highly desirable to support diverse client needs
  • Exceptional customer service skills with professional phone etiquette and interpersonal communication abilities
  • Ability to handle confidential information discreetly and accurately proofread documents for clarity and correctness
  • Personal assistant experience or experience managing calendars is beneficial
  • Knowledge of bookkeeping practices using QuickBooks or similar software is preferred
