Front Desk Receptionist

Job Title: Front Desk Receptionist and Fleet Administrative Support Company: Power Safety

Job Type: Full Time, In Office

Job Summary

Power Safety is seeking a dependable, professional, and personable Front Desk Receptionist to serve as the welcoming face of our organization. In this vital role, you will manage front desk operations, handle a multi line phone system, and provide exceptional service to visitors, clients, vendors, and team members. You will also provide administrative support to our Fleet operations team in close collaboration with the VP of Fleet, helping keep our vehicles, drivers, and daily logistics running smoothly. Your organizational skills, attention to detail, and customer service mindset will ensure smooth daily operations, create a strong first impression for everyone who walks through our doors, and directly support the success of our team.

Responsibilities

Front Desk and Reception

  • Greet and welcome visitors, clients, and vendors in a professional and courteous manner
  • Answer, screen, and direct incoming phone calls promptly and accurately
  • Manage front desk operations and maintain a clean, organized reception area
  • Handle inquiries from customers and staff, providing accurate information or routing requests appropriately

Mail, Shipping, and Deliveries

  • Receive, sort, and distribute incoming mail, packages, and deliveries
  • Process outgoing mail, shipping labels, and courier requests

Administrative and Office Support

  • Provide administrative support including filing, scanning, copying, and data entry
  • Maintain office supply inventory and coordinate orders as needed
  • Coordinate with internal departments to ensure smooth daily operations
  • Maintain confidentiality of sensitive company and client information
  • Perform additional clerical and administrative duties as assigned

Fleet Operations Support

  • Provide administrative support for Fleet operations in collaboration with the VP of Fleet
  • Schedule routine oil services and preventive maintenance for company vehicles
  • Monitor and oversee incident and motor vehicle alerts, escalating as appropriate
  • Maintain regular communication with lead drivers, coordinating schedules and collecting relevant data

Requirements

  • Proven office or clerical experience with strong organizational skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace
  • Solid data entry and typing skills
  • Experience with multi line phone systems and professional phone etiquette
  • Knowledge of office management practices, including filing systems and calendar management
  • Excellent proofreading skills and attention to detail
  • Strong customer service orientation with the ability to support visitors and team members courteously
  • Ability to manage time efficiently and prioritize in a fast paced environment
  • Reliability, discretion, and the ability to handle confidential information with professionalism

Preferred Qualifications

  • Bilingual abilities (English and Spanish) to serve diverse client and driver needs
  • Familiarity with QuickBooks or general bookkeeping experience
  • Prior experience supporting fleet operations, dispatch, logistics, or transportation administration
  • Personal assistant, executive assistant, or medical/dental receptionist experience

Pay: $18.75 - $24.60 per hour
