Job Overview
The Front Desk Receptionist is the first impression our clients and pets will have with our clinic. This person will check clients in and out, manage the front desk workflow, coordinate with veterinary technicians/assistants, and ensure the client experience is smooth, compassionate, and professional.
Responsibilities
- Greet clients and their pets warmly, check them in for appointments
- Answer phone calls, emails, and other client inquiries; schedule appointments and follow‑ups
- Coordinate with back‑of‑house staff (techs, vets) to inform them of arrivals and patient flow
- Handle patient check‑out: review services rendered, prepare invoices, take payments (cash, card, etc.)
- Maintain accurate client and patient records in our practice management software
- Assist with client education: explain basic follow‑up care, vaccination schedules, pet care practices
- Maintain a clean, orderly front desk, lobby and waiting area (supplies, paperwork, appearance)
- Perform general administrative tasks: filing, data entry, scheduling reminder or follow‑up calls, handling mail and deliveries
- Communicate with clients compassionately, including when they’re distressed or have concerns
Requirements
- High School Diploma or equivalent (some post‑secondary training is a plus)
- Previous experience in customer service; veterinary or medical office experience preferred but not always required
- Strong verbal and written communication skills
- Excellent organizational skills; ability to multitask and manage priorities in a busy environment
- Comfortable with computer work; ability to learn and work with practice management software
- Professional, friendly, compassionate demeanor; able to interact well with pets and owners
- Basic math skills (for transactions) and attention to detail in invoicing, records
- Ability to stand for extended periods, sometimes lift or move light‐to‐moderate weight items (supplies, paperwork, possibly small animals)
- Ability to calmly handle stressful or emotionally charged situations (pets in pain, upset owners, etc.)
Job Type: Part-time
Pay: $17.00 - $20.00 per hour
