Front Desk Receptionist

Job Summary
We are seeking a dynamic and friendly Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and support office management functions. There will also be some sales, marketing and social media tasks involved.

  • Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
  • Answer multi-line phone systems with professionalism, directing calls accurately and efficiently
  • Manage appointment scheduling and calendar coordination using tools like Google Workspace and Microsoft Office
  • Handle data entry, filing, and document proofreading to maintain accurate records and support office workflows
  • Assist with office management tasks such as supply inventory, mail distribution, and maintaining cleanliness of common areas
  • Support customer service efforts by addressing inquiries, providing information, and ensuring client satisfaction
  • Perform clerical duties including typing correspondence, managing office emails, and supporting bookkeeping activities using QuickBooks or similar software

Skills

  • Excellent computer skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Strong organizational skills with the ability to multitask effectively in a fast-paced environment
  • Exceptional phone etiquette with experience managing multi-line phone systems
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Previous office or administrative experience, including clerical tasks such as filing, data entry, proofreading, and calendar management
  • Knowledge of customer support principles combined with a friendly, professional demeanor
  • Ability to handle sensitive information discreetly while demonstrating excellent time management skills
  • Experience in medical or dental receptionist roles is a plus but not required; familiarity with office management or personal assistant responsibilities is advantageous
