Front Desk Receptionist

Responsibilities

  • Greet visitors and clients warmly, ensuring a positive first impression at all times
  • Manage multi-line phone systems, directing calls accurately and professionally using proper phone etiquette
  • Handle incoming and outgoing correspondence, including emails, mail, and packages with attention to detail
  • Maintain appointment calendars and schedule meetings using calendar management tools
  • Support office management tasks such as filing, data entry, proofreading, and document organization
  • Utilize computer skills across Microsoft Office Suite, Google Workspace, and other relevant software for daily operations
  • Assist with basic bookkeeping tasks using QuickBooks or similar accounting software when needed
  • Provide customer support by addressing inquiries promptly and courteously in person or via phone or email
  • Perform clerical duties including photocopying, faxing, scanning, and maintaining organized records
  • Support other administrative functions such as proofing documents and managing office supplies

Qualifications

  • Proven experience in office management, clerical work, or as a receptionist in a professional environment
  • Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
  • Excellent organizational skills with the ability to multitask efficiently in a fast-paced setting
  • Exceptional customer service skills with a friendly demeanor and professional phone etiquette
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Experience with multi-line phone systems and calendar management tools is preferred
  • Knowledge of QuickBooks or bookkeeping experience is a plus but not required
  • Previous experience in medical or dental reception is advantageous but not mandatory
  • Ability to handle sensitive information discreetly with high attention to detail and proofreading skills
