FRONT DESK RECEPTIONIST/EXECUTIVE SECRETARY

Job Description:

We are seeking a friendly, organized, and professional Front Desk Receptionist / Executive Secretary to be the first point of contact for visitors and clients. In this role, you will manage front office operations, perform administrative tasks, and provide exceptional service to ensure the office runs smoothly. Key Responsibilities:

  • Greet and assist clients, visitors, and staff in a professional, courteous, and friendly manner.
  • Answer, screen, and direct incoming calls to the appropriate department or individual.
  • Schedule and coordinate appointments, meetings, and conference calls.
  • Maintain an organized, clean, and welcoming front desk and office area.
  • Handle incoming and outgoing mail and packages.
  • Prepare and file documents, correspondence, and other administrative paperwork (Documents Control).
  • Assist with office supplies inventory, ordering, and distribution.
  • Perform basic clerical duties such as data entry, typing, photocopying, and faxing.
  • Maintain office calendar, schedule conference rooms, and organize events or meetings.
  • Assist other departments or teams with administrative support, attendance, connect sales team with operation team.

Qualifications:

  • Minimum of 3 years of experience as a Receptionist/Executive Secretary in the real estate field is preferred.
  • Knowledge in KYC process, accounting background
  • Strong verbal and written communication skills.
  • Proficient with MS Office Suite (Word, Excel, Outlook) and basic office equipment (phones, printers, fax).
  • Excellent organizational and multitasking abilities.
  • Professional demeanor with the ability to interact with individuals at all levels.
  • Strong attention to detail and the ability to prioritize tasks effectively.
  • Ability to maintain confidentiality and manage sensitive information.
  • Positive attitude, team player, and dependable.
