Front Desk Receptionist/Office Assistant

We serve clients across the United States, Canada, and South America from our Baltimore County headquarters and Florida satellite office.

Position Overview

We are seeking a professional and organized Receptionist/Office Assistant to support daily administrative operations and serve as the first point of contact for visitors, vendors, and callers. This role plays a key part in maintaining efficient office operations and supporting multiple departments.

Responsibilities

Front Desk & Communication

  • Greet visitors and notify appropriate staff of arrivals
  • Answer, screen, and route incoming calls
  • Support office security and telecommunication systems

Mail & Shipping

  • Process incoming and outgoing shipments (FedEx, UPS, and other carriers)
  • Receive, sort, and distribute company mail and packages
  • Maintain shipping and delivery records

Administrative & Accounting Support

  • Post daily deposits into MAS 90 (Sage 100) general ledger
  • Prepare purchase orders and communicate with vendors
  • Coordinate staff travel arrangements
  • Order catering or meals for meetings as needed

Office Operations

  • Monitor office supply inventory and place orders
  • Coordinate maintenance and repair of office equipment
  • Provide clerical support including copying, filing, scanning, and document preparation
  • Assist staff and departments with administrative tasks

Additional Duties

  • Maintain organized records and files
  • Support special projects and perform other duties as assigned

Qualifications

Required

  • High school diploma or GED
  • Minimum 2 years of office or administrative experience
  • Professional phone presence and communication skills
  • Basic Microsoft Office proficiency (Word, Excel, Outlook)
  • Strong organizational and multitasking abilities

Preferred

  • Experience with MAS 90 / Sage 100
  • Some college coursework
  • Experience in a multi-department office environment
