Front Desk Receptionist/Office Assistant

Job Summary
We are seeking an energetic and detail-oriented Front Desk Receptionist/Office Assistant to join our dynamic team. In this vital role, you will be the first point of contact for visitors and callers, ensuring a welcoming and professional environment. You will manage front desk operations, handle administrative tasks, and support office management activities to keep our workplace running smoothly. Your positive attitude, excellent organizational skills, and ability to multitask will contribute significantly to our office’s efficiency and customer service excellence.

Responsibilities

  • Asist tenants with needs.
  • Receive payments from tenants and follow our process with dealing with deliquesces.
  • Manage multi-line phone systems with professionalism, practicing excellent phone etiquette
  • Handle incoming calls, screen inquiries, and route calls efficiently to the relevant departments or personnel
  • Perform data entry, filing, and maintain accurate records using Microsoft Office.
  • Support office management tasks such as calendar management, appointment scheduling, and basic tasks.
  • Assist with clerical duties including proofreading documents, managing correspondence, and organizing office supplies
  • Provide exceptional customer support by addressing inquiries promptly and courteously in person or via phone or email
  • Experience with property management software's like AppFolio is a plus.

Qualifications

  • Having college degree is a plus.
  • Proven office or clerical experience with strong organizational skills and attention to detail
  • Proficiency in computer literacy including Microsoft Office (Word, Excel, Outlook), Google Workspace, and basic data entry skills
  • Experience with multi-line phone systems and phone etiquette is essential
  • Bilingual abilities are highly preferred to serve diverse client needs effectively
  • Familiarity with QuickBooks for bookkeeping and basic office management tasks is a plus
  • Strong typing skills with high accuracy; ability to proofread documents carefully
  • Excellent customer service skills with a friendly demeanor and professional appearance
  • Prior experience as a medical receptionist, dental receptionist, or personal assistant is advantageous
  • Ability to manage time efficiently while handling multiple responsibilities in a fast-paced environment
